About the Role:
We are seeking an experienced and detail-oriented Benefits Specialist to support the delivery of employee benefits administration across LATAM, covering Brazil (primary), Mexico, Colombia, Chile, Panama and Argentina.
The incumbent will be responsible for the end-to-end administration and operational delivery of health, life, dental, pension, allowances, and statutory benefits programs. The role requires strong coordination across internal teams (HR, payroll, finance), vendors, and client stakeholders, while ensuring adherence to regional regulations and company policies.
Key Responsibilities:
- Benefits Administration (LATAM Scope )
- Manage end-to-end administration of benefits programs including medical, dental, life insurance, private pension, meal/lunch vouchers, pharmacy, daycare, and allowances
- Support new hire enrollments, dependent additions, and benefit lifecycle changes
- Handle cancellations (employee exits and dependent eligibility changes)
- Brazil Benefits Operations
- Manage high-volume Brazil-specific benefits processes including:
- Medical, dental, and life insurance
- Meal and lunch vouchers
- Private pension plan
- Pharmacy and statutory benefits
- Process monthly benefit orders, allocations, and credit calculations based on working days and eligibility
- New Hire Enrollment & Life Event Management
- Coordinate benefit onboarding communication with employees prior to start date
- Collect and validate required documentation (e.g., dependent details, certificates)
- Process life event changes (marriage, childbirth, eligibility updates)
- Maintain accurate records of employee and dependent enrollment
Vendor & Broker Management
- Liaise with benefits providers, brokers, and third-party vendors for enrollments, changes, and renewals
- Share employee data securely and track status of coverage confirmations
- Support benefit renewal cycles and provide required inputs to vendors
Invoice Management & Reconciliation
- Receive, validate, and process monthly benefit invoices from vendors
- Perform invoice reconciliation, breakdown, and validation against employee data and benefits records
- Coordinate with payroll and finance teams to ensure timely payments
Payroll Coordination & Allowance Processing
- Prepare and share payroll input files for benefit deductions and allowances
- Process monthly, annual, and ad hoc allowances
- Ensure accurate alignment between benefits data and payroll reporting
Data Management & Reporting
- Maintain and manage Excel-based master data trackers for:
- Employee benefits census
- Dependent data
- Enrollment and life cycle changes
- Reconcile data across HR systems, vendor platforms, and payroll files
- Generate reports and support data analysis
Query & Issue Resolution
- Act as the point of contact for employee and stakeholder benefit-related queries
- Manage shared mailboxes and service requests
- Coordinate with internal teams and vendors for issue resolution within defined SLAs
Compliance & Documentation
- Ensure compliance with local labor laws, union agreements, and statutory benefit requirements
- Manage documentation requirements for enrollments, claims, and life events
- Maintain audit-ready records and ensure data privacy compliance
Communications Management
- send employee communications for:
- Benefit enrollments and changes
- Monthly reminders and announcements
- Support onboarding communication and benefit awareness initiatives
Annual Renewals & Changes
- Coordinate benefit renewal cycles across vendors and geographies
- Support data validation, plan updates, and communication rollouts
- Participate in process improvements and system updates
Project & Transition Support
- Support ongoing LATAM benefits transition activities and process stabilization
- Participate in process improvements, documentation, and standardization initiatives
- Assist in knowledge transfer and SOP development
Reporting & Metrics
- Support reporting on trends, gaps, and process improvements
- Ensure accuracy and consistency in reporting outputs
Requirements:
- Education: Bachelor’s degree in Human Resources, Business Administration, or related field
- Experience: 2-4 years in benefits administration or HR operations, preferably in a multinational or shared services environment
- Language:
- Fluent Portuguese (mandatory)
- Fluent Spanish (mandatory)
- Knowledge: Strong understanding of LATAM benefits processes, especially Brazil benefits landscape
- Technology: Advanced proficiency in Microsoft Excel and MS Office (Word, Outlook, PowerPoint); experience with HRIS systems (e.g., Workday) preferred
- Process Orientation: Strong familiarity with data privacy, documentation handling, and vendor coordination
